Overview
Managing international partnerships across multiple countries requires accurate records, consistent processes and clear visibility.
For Vinnies, one important part of this work is the Status Check Request (SCR) process within its National Overseas Database. Status Checks are used when communication between partnered Conferences breaks down or a partnership requires formal review.
Previously, the entire process was managed through spreadsheets. As the number of partnerships grew, this became increasingly difficult to administer. Information was spread across multiple files, updates were manual, and staff had limited visibility into the progress of each request.
Working closely with Vinnies, OSKY redesigned the process and developed a dedicated SCR module within the National Overseas Database, transforming a fragmented spreadsheet workflow into a centralised digital system.

The St Vincent de Paul Society is one of Australia’s largest charitable organisations, supporting vulnerable communities locally and internationally.
Through its Overseas Partnerships Program, Australian Conferences establish long-term relationships with overseas Conferences in developing communities.
Managing these partnerships requires accurate record keeping, clear communication and strong governance, particularly when a partnership needs to undergo a formal Status Check.
The Challenge
The existing spreadsheet-based process created several operational challenges.
Staff had limited visibility into where individual Status Check Requests were within the review process. Information often had to be entered in multiple places, and related records needed to be updated manually.
Because each Status Check could involve Australian Conferences, Overseas Conferences and associated Twinning relationships, maintaining consistent information across the National Overseas Database became increasingly difficult.
Vinnies also needed stronger controls over who could create and modify records while still allowing relevant staff to monitor progress.
The organisation needed a solution that could:

Rather than simply recreating the existing spreadsheet process online, OSKY designed the SCR module around the way Vinnies administrators actually manage Status Check Requests.
The goal was to create a structured workflow that simplified administration while ensuring information remained consistent across the broader National Overseas Database.
This required the SCR module to work as part of the existing platform rather than operate as an isolated system.

Centralising a Previously Manual Process
OSKY developed a dedicated Status Check Request module within the National Overseas Database.
Administrators are guided through each stage of the process, helping ensure requests are completed consistently and that required information is captured before progressing to the next stage.
This provides a clearer workflow for staff while creating a complete audit trail for each request.
Keeping Related Information Synchronised
Status Check Requests are closely connected with Australian Conferences, Overseas Conferences and Twinning relationships.
Rather than requiring administrators to update each area separately, the new module keeps related information synchronised throughout the database.
This reduces duplicate administration and helps ensure users are working with current information across the platform.
Improving Visibility Across the Process
Clear visual indicators now show when a Twinning relationship is undergoing a Status Check.
Administrators have greater oversight of active requests, while other users can quickly understand the current status without searching across spreadsheets or multiple records.
This creates better transparency across the full Status Check lifecycle.
Strengthening Governance
OSKY introduced role-based access controls to ensure users have appropriate levels of access based on their responsibilities.
Administrative users can create, manage and complete Status Check Requests, while other users retain the visibility they need without unnecessary editing permissions.
This strengthens governance while maintaining access to important operational information.
Creating a Complete Record
Supporting documentation and correspondence can now be stored directly against each Status Check Request.
This gives Vinnies a central record of the process and makes important information easier to access when required.
Outcomes
The new SCR module has modernised how Vinnies manages one of the key administrative processes within its Overseas Partnerships Program.
